Job Purpose:
To provide executive assistance to the Managing Director of HKMO and undertake various administrative tasks such as managing complex calendars, coordinating travel arrangement and logistics, establishing and maintaining an accurate and efficient filing system. To support the preparation of presentation materials, reports, and perform any other ad-hoc duties as assigned.
Key Responsibilities:
To provide executive assistance to the Managing Director of HKMO and undertake various administrative tasks such as managing complex calendars, coordinating travel arrangement and logistics, establishing and maintaining an accurate and efficient filing system. To support the preparation of presentation materials, reports, and perform any other ad-hoc duties as assigned.
Key Responsibilities:
- Planning and organizing the Managing Director’s calendar and schedule of appointments
- Coordinating travel arrangements for air / hotel / other logistics
- Managing Managing Director’s travel and expense claims, and payments to vendors, corporate consultants and business association memberships under Managing Director’s budget
- Maintain proper system for records, files, updating of information and database for greater efficiency
- Updating and maintaining key reports and documents
- Arrange and coordinate meetings/events of the Executive Leadership Committee (ELC), including arranging agenda and minutes of meetings, team meals, offsite events and other team activities
- Handling the coordination and liaison with vendors for events hosted by the Managing Director and/or the ELC.
- Coordinating the logistics for overseas guest visits
- Support the Managing Director on adhoc projects
- Assist in preparation of reports, presentations and communications
- Other ad-hoc duties as and when assigned
- A minimum of 10 to 15 years of relevant experience in executive assistant capacity supporting senior leaders such as Managing Director, CEO or General Manager
- Excellent stakeholder management, interpersonal, and communication skills
- Excellent organizational and multi-tasking skills, high levels of efficiency and timeliness, meticulous and attentive to details
- Professional disposition, high level of discretion and ability to maintain confidentiality
- Ability to navigate complexity in a global matrix organization, work independently; is resourceful and an effective problem-solver
- Excellent command of spoken and written English
