Full Job Description

The Configuration Centre Supervisor will report to the Configuration Manager, aiding with the day-to-day management, assigning Technicians work and general administration (reports and stock etc). This role requires an element of man management, with multiple reports to yourself.

In addition, you will act as an important part of the 'Quality Team', managing associated task stock while ensuring and validating processes are adhered to within the Configuration Centre. Duties will also involve process improvement and data analysis.

Communication with the relevant Project Teams and Warehouse is a key element for this role. The role will change and develop as the business grows and it adds new offers to our existing portfolio.

What will you be doing?

  • Personnel Duties: The Configuration Centre Supervisor will be responsible for the day-to-day interactions and performance of approximately 50% of the Configuration Team, with an estimated 5-10 technicians reporting to the Configuration Supervisor (subject to change/business requirements). This includes arranging and performing performance reviews, return-to-work interviews, absence management and mentoring.

  • Quality Duties: Responsible for performing physical secondary quality control against completed activities performed by technicians, validating that the correct stock is present prior to release to Warehouse/Dispatch, and addressing discrepancies.

  • Generate/Analyse reports against tasks and audits, validating expected matches actual.

Perform inspections against an agreed % of audits, validating sufficient detail/evidence is published.

Gather statistical information against task completion and success, liaise with project teams to confirm success rates, and report results to the Configuration Centre Manager.
  • Task Assignment: Work with the Configuration Centre Manager to understand technicians' duties, planning the upcoming tasks based on expected workload. Allocate tasks via a web portal to the Technician's schedules based on the agreed strategy.

  • Maintain Technician's schedules to provide an overview of real-time events, assisting with tasks management.
  • Dispatch Risk Management: Actively record an 'outlist' and communicate against high-risk tasks throughout the day, typically those pending imminent departure to customers to the Configuration Centre Manager. Report any issues arising to the Configuration Centre Manager that may prevent tasks completing as scheduled.

  • Stock Management: Manage stock movements and adjustments via the 'Delta' warehouse systems, amending stock values and changes to assist the project teams where required.

  • Perform daily returns of products from completed product evaluations to the Warehouse, listing products and new conditions accordingly.

Manage evaluation returns of all items to the warehouse upon completion.

Physically move stock between locations where required to mirror system stock movements, performing system checks and physical stock checks where required.
  • Liaison to Warehouse (Stock corrections): Act as the first line of support for the Configuration Technicians for all stock concerns, liaising with the Project Co-ordinators to ensure required stock is available for each task.

  • Operate as the key contact between the Warehouse and Configuration team, managing any urgent picks into the Configuration Centre.
  • Stock movement: Physically move stock between locations where required to mirror system stock movements, performing system checks and physical stock checks where required.

  • Quality control Administration and Reporting: Process and record all completed technician QC in and QC out sheets, generating statistical information. Perform routine checks on systems to validate that required audits are completed and available.

  • Task Expiry Management: On a daily basis, review all current outstanding tasks, working with our internal customers to identify issues, remove 'blockers' and re-assess task times.

  • Technician Time Administration: Generate data sets and reports against technician time vs expected values. Investigate where task time is not sufficiently recorded and work with the technicians to address any discrepancies. Perform weekly analysis on task time at a detailed level, investigating variance in task time and reporting significant variance to the Configuration Centre Manager.

  • Management Cover: It may be necessary to perform additional duties during times of absence including but not limited to attending high-level project planning meetings, performing planning analysis, issue resolution and Project Liaison point

  • Continuous Improvement & 'Quality Team' Operations: As part of the 'quality team' you may also be asked to step away from day-to-day operations to perform continuous improvement exercises; investigating, developing, testing and deploying new processes across 'Technical Services'. During this time you will take a hands-on approach, within the Warehouse and Config Centre allowing you to test these processes in a live environment.

  • Provide Warehouse Assistance: As part of the role involves stock management, you may need to assist at the Warehouse when required. This may involve anything from system maintenance and changes to physical picks.

  • Additional duties may include joining regular project update meetings, recording any upcoming works and detailing requirements, and risks, and providing updates to the Configuration Centre Manager where required. Take meeting minutes. Generate, analyse, and publish ad-hoc reports utilising existing systems or templates.

Work against and provide objectives and KPIs as provided by the Configuration Centre Manager.
