Full Job Description

We are currently recruiting for an Engineering Administrator to be based from our depot in London Victoria. In this role you will support the Engineering Manager and supervisory team in adhering to the company's internal quality system and all other company policies and procedures.

What you'll do...

  • Input and maintain vehicle data in the company systems.

  • Conduct daily quality checks on engineering paperwork to ensure all compliance paperwork is completed fully and correctly. Reporting any issues to the Manager/Supervisors.

  • Input and report on weekly Engineering statistics and KPIs.

  • Monitor and amend schedules as necessary and liaise with Central Engineering to ensure the system is kept up to date and reflect local working plans.

  • Correctly raising purchase orders for suppliers.

  • Typing of minutes, letters, memos and co-ordinate the administration of anything Engineering related.

  • Implement and maintain a robust filing system for quality and compliance paperwork and ensure any quality paperwork in use is maintained and kept up to date.

  • Be responsible for maintenance and filing of vehicle documentation, maintenance records, updating of V5 documents and MOT records along with other relevant vehicle documentation.

  • Assist in communication of information to the shop floor such as procedure and document updates, health and safety notices, technical briefs etc.

  • Assist in ensuring that all DVSA and legislative requirements regarding roadworthiness of vehicles are met.

  • Checking the levels of stock and placing orders for the garage such as parts, stationary, fuel, cleaning products

  • Ensuring 3rd party permits are up to date for works to be carried out

  • Managing the cleaner hours/holiday and processing their payroll

  • Occasional travel may be required to other depots

    Previous administration experience

  • Experience with purchase orders and invoicing desirable

  • Computer literate. Good knowledge of Microsoft Office including Microsoft Access.
