Resolving conflicts within a virtual team requires a proactive and strategic approach to ensure that issues are addressed effectively and relationships are maintained. Resolving a conflict from a posture of grace I believe goes a long way. Not one of us are perfect and we don't know what everyone is walking through. As the saying goes 'You catch a lot more flies with sugar than with salt.' I've heard it best during conflict resolution "Own 100% of your percent. If you are only 1% wrong, own 100% of your 1%.' This approach allows for both people to see they may not be 100% correct nor is any one of us perfect or without some sort of fault.

Encourage open and honest dialogue among team members to understand the root causes of the conflicts. Actively listen to everyone's perspectives and work together to find common ground. Setting clear expectations, defining roles, and establishing guidelines for communication can help prevent future conflicts. Remember, staying positive, empathetic, and solution-oriented can go a long way in resolving virtual team conflicts smoothly.

Unfortunately, as leaders, we often think that we are clear about how to work well together. We think because it is clear to us how to manage conflict, it will be clear to everyone. It is critical to create team norms and rules of engagement upfront and be explicit about them with the team. This applies as much to in-person and hybrid teams as it does to virtual teams. Making an investment in a system that supports a shared language and understanding of differences is also an important precursor to establishing these team norms. When employees understand themselves and their operational preferences, they are better prepared to be open to understanding others' preferences.

In my experience, setting these communication guidelines upfront has been crucial in maintaining team harmony and productivity. By clearly defining expectations, such as response times and appropriate channels for different types of interactions, we can prevent many issues before they arise. Additionally, having a code of conduct for virtual meetings ensures that everyone feels respected and heard. This proactive approach not only minimizes misunderstandings but also streamlines conflict resolution when needed.

Dialogue should be based in Non Violent Communication (NVC), implement these 4 steps between your remote team: 1. NVC emphasizes observation without judgment. This means presenting the simple facts we have observed. 2. NVC requires a change in perspective of how others’ words and actions affect our feelings. The coworkers are NEVER the cause of your feelings. 3. NVC makes the connection between feelings and unmet needs. These needs are common to all human beings. 4. NVC’s final step is to make specific and doable requests. NVC considers demands always to be violent, intimidating, and forceful – the source of many ineffective and unhelpful communication exchanges. In addition to open dialogue, I would suggest, create a psychological safe, culturally engaging open environment. Open dialogue need not mean 'words', 'discussions'. Our action speaks louder than words. So 'actions' also have to give a sense of 'openness' to see each others 'intent' and 'effort' behind.
