Position: Administrative Assistant

Location: Maitland, FL

Duration: 6 month contract to hire

Pay: $20-25/hr (Based off expereince)


Desired Skills:

2-5 years of experience in an administrative office role

Strong experience with Microsoft office tools

Experience using Adobe tools

Experience with data entry

Experience with Smartsheets is highly desired.


Job Responsibilities:

  • Proactively and independently assist contracts personnel with the administrative side of the contracting process, from the initiation of an engagement and throughout the life of the contract, with a keen understanding of protecting high level and sensitive information.
  • Effectively track contract and task status for department personnel, including updating contract data into internal tracking and filing systems, and creating high level reports based on this data.
  • Manage the contracts file drive including core organization and auditing for accuracy and compliance.
  • Liaise with internal and external stakeholders to assist the contracts team with facilitating contract administration tasks.
  • Draft and prepare high level professional client correspondence, as well as internal notifications and reports.
  • Support the contracts department with tasks needed for business development opportunities.
  • Provide outstanding customer service at all times, representing Tetra Tech to current clients.
  • Conduct proactive follow-up to ensure action items assigned and deliverables requested are completed on schedule.
  • Print, assemble, mail, and track delivery of contracts materials.
  • Provide direct support to Senior Contracts Administrator and other Contract Administrators in department administration and communication.
  • Provide general research, as required.
  • Manage small office, including sorting and delivering mail, facilitating any building related requests, and planning meetings/events for Deputy Business Unit President and other senior management personnel.
  • Initiate and maintain relationships with internal office and office building personnel.
  • Assist with various office tasks as assigned, include ordering materials and completing expense reports.
