Primary Purpose Of Organizational Unit

The offices within the Enrollment Division (Office of Undergraduate Admissions, Office of Scholarships and Student Aid, the Office of the University Registrar, and the Carolina College Advising Corps) focus on increasing the enrollment of outstanding students from North Carolina and beyond; meeting the full demonstrated financial need of all undergraduate students who qualify for federal aid; maintaining the integrity of the student record and academic and administrative processes; supporting student success; and providing great care to all who come our way. The work of the Enrollment Division is closely scrutinized by students and their families; by faculty, staff, students, and alumni; by secondary-school teachers and administrators; by lawmakers at the local, state, and national level; and by the media.

Position Summary

The University of North Carolina at Chapel Hill seeks innovative and accomplished candidates for the position of Executive Assistant for Enrollment and Undergraduate Admissions. The position provides administrative support to the Vice Provost for Enrollment, the Associate Provost and Director of Undergraduate Admissions, and the Chief of Staff for Enrollment. The person in this position will:

  • Schedule meetings for the administrators, manage complex schedules, and prepare meeting materials.
  • Assist in planning events to advance the culture and mission of Enrollment.
  • Arrange travel and prepare expense reports for the administrators.
  • Create a welcoming environment for visitors, which includes supporting front-desk staff and visitor parking.
  • Answer emails and phone calls on behalf of the administrators, sensitively responding to requests or delegating as appropriate.
  • Serve as a convener for Enrollment working groups and faculty council committees, including scheduling meetings, drafting minutes, and preparing materials for distribution.
  • Respond to requests from other University units, such as the Chancellor and the Executive Vice Chancellor and Provost, as well as from external constituencies, including legislators and the media.
  • Provide support for admissions and enrollment-related activities, ensuring the proper handling of confidential information.

Minimum Education And Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Required Qualifications, Competencies, And Experience

The position requires excellent information-technology skills, including proficiency in Microsoft Office applications, such as Word, Outlook (both email and calendar), Excel, and PowerPoint; clear understanding of the etiquette and decorum involved in high-stakes public events; strong organizational and time-management skills, including the ability to manage and meet multiple deadlines simultaneously; strong interpersonal skills; keen attention to detail; and excellent written and verbal communications skills.

The position also requires discretion and sound judgment; the ability to manage several complicated administrative processes simultaneously, including the ability to discern when tasks or requests intended for the Vice Provost or Associate Provost should be delegated to other staff members. When tasks or requests are delegated, the position must be able to monitor the follow-up responses of staff members to ensure they are appropriate and complete.

Preferred Qualifications, Competencies, And Experience

Experience working in higher education is preferred, along with familiarity with Slate Technolutions and PeopleSoft Campus Solutions.
