About The Opportunity

Hiring Range:65,500 - 85,000

The Healthcare Project Coordination Specialist will play a pivotal role in managing, facilitating, and implementing various special projects. This role will oversee the Medicare Secondary Payer (MSP) Commercial Repayment Center (CRC) Employee Recognition Program and coordinate communications and activities related to it. Additionally, the person in this role will lead weekly client contract call meetings, assist with on-site meeting planning, and support monthly manager's and senior staff meetings. This person will also provide administrative support to the project team and project manager. This role requires exceptional organizational, communication, and leadership skills to ensure the smooth execution of all responsibilities.

Key Responsibilities To Include

Manage Special Projects:

  • Lead the planning, execution, and closure of various special projects related to the MSP CRC contract.
  • Collaborate with cross-functional teams to define project scope, objectives, and deliverables.
  • Monitor project progress, identify risks, and implement mitigation strategies to ensure successful outcomes.
  • Anticipates risk and develops mitigation plans & leads process improvement activities.

Employee Recognition Program

  • Coordinate the MSP CRC Employee Recognition Program, including acknowledging incoming nominations and collecting nominee information.
  • Update the Employee Recognition Spreadsheet with nominee details and circulate information to the leadership team prior to meetings.
  • Lead and facilitate quarterly voting committee meetings to select recognition recipients.

Client Contract Call Meetings

  • Facilitate weekly client contract call meetings, guiding attendees through agenda topics and ensuring productive discussions.
  • Circulate meeting agendas, minutes, and manage action items to drive accountability and follow-up.

On-Site Meeting Planning

  • Assist the MSP CRC Project Director in the planning and coordination of semi-annual CRC Managers Meetings, including venue selection, logistics, and agenda development.

Monthly Manager's And Senior Staff Meetings

  • Support the facilitation of monthly manager's and senior staff meetings by managing agendas, scheduling, and tracking action items.
  • Conduct walk-throughs of meeting agendas to ensure alignment with objectives and timely updates from team leads.

Task Ownership And Accountability

  • Take ownership of assigned tasks, ensuring deadlines are met and deliverables are of high quality.
  • Assume primary responsibility for all assigned project coordination efforts, escalating issues when necessary.
  • Demonstrate operational maturity by working autonomously with minimal supervision, aligning with project assignments and goals.
  • Provide administrative support to the project team and project manager.
  • Ensure that the administrative aspects of the project run smoothly.

Other

  • Some travel required, though typically less than 20% annual average.
  • Interact with internal and external stakeholders in a professional manner and respond quickly to stakeholder requests.
  • Upon hire (and process facilitated by the Company through the client) obtain and maintain required government client clearances.
  • Participate in other COB&R meetings as required.

  • Ability to leverage standard office systems and applications; Intermediate experience with MS Office products including MS PowerPoint; experience with SharePoint desired.

  • Excellent attention to detail and ability to synthesize information from several different sources required to troubleshoot issues or lead assigned initiatives.
  • Ability to deliver day-to-day support to the business with a professional attitude and exceptional organization skills under pressure.
  • Ability to adapt to rapidly changing business requirements and applying skills in effective and innovative way to meet dynamic business needs.
  • Ability to effectively share information and transfer knowledge to functional areas and stakeholders.
  • Proven experience as a project coordinator/lead/administrator or similar role, preferably in a contract management or service delivery environment.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to engage with stakeholders at all levels.
  • Proficiency in project management tools and software.
  • Ability to adapt to changing priorities and thrive in a fast-paced environment.
  • Must demonstrate project and operational leadership capabilities, and a proactive approach to problem-solving.

Required And Preferred Qualifications

  • Bachelor’s degree in business administration, or equivalent education/experience may be considered.
  • At least three (3) years of professional work experience, preferably within Healthcare.
  • At least two (2) years working in a project coordinator/lead/administrator/specialist role with proven ability to execute projects and achieve results.
  • PMP Certification is not required but is a plus.
  • Relevant healthcare industry experience with project management/administration.
  • Medicare experience not required but is preferred.

Requirements
