Summary:

This individual will be responsible for leading the Loan Operations team, supporting the lending function and ensuring compliance with regards to all lending products. The Loan Operations Manager will manage the Bank’s loan operations department including but not limited; loan processing, underwriting, and servicing. This will be accomplished by onboarding and servicing of the Bank’s commercial, real estate and consumer loans, documentation review, insurance follow-up, centralized document preparation, payment processing, general ledger balancing, etc. Their team will process and complete loan packages for construction, commercial and retail loans while ensuring all loan activities are conducted in compliance with regulations and bank’s policies.

Essential Job Functions

Leadership

  • Responsible for the oversite of multiple operational teams including but not limited to; Loan Operations, Loan Processing & Underwriting, Loan Support Staff.
  • Maintains a collaborative work environment that fosters excellent rapport with production staff when addressing department issues, compliance issues and customer service levels.
  • Understand and efficiently perform the functions of the operations team.
  • Lead team to provide excellent customer service with the ability to effectively resolve customer issues. This position will serve as the escalation point for customer concerns.
  • Responsible for sourcing, developing, coaching and leading a team that reinforces Union Banks core values, business objectives and employee performance standards.
  • Demonstrates and maintains a working knowledge of Union Bank’s products, services, processes, and internal resources to stay informed, guide and lead the team.

  • Oversee the loan operations teams, which receive all loan requests for new or renewed loans and performs or assigns duties for completion including preparing loan documentation and verifying that proper approvals have been obtained. Reviews or prepares the appropriate documentation needed for the loan requests.
  • Oversight of any credit policy or procedure exceptions.

Service & Operations

Duties

This individual will be responsible for all the duties below which they will perform or will be performed by their team:

  • Organizes and directs the activities of the assigned operations staff in pursuit of both individual cost center goals and bank goals.
  • Responsible for ensuring all loans are booked accurately on the bank’s core operating system and ensuring data and loan coding accuracy.
  • Maintain and demonstrate proficiency with loan software applications (including Laser Pro, Jack Henry and MortgageBot). Work with system providers to utilize applications to fullest capacity, streamlining processes and procedures, and ensuring accuracy and compliance. Analyze, prepare, and train for periodic updates to system software and verify that enhancements are working correctly. Assist with system parameters and design to meet the needs of multiple departments.
  • Point of contact to provide requested documentation for audits and examinations
  • Ensures that all applicable credit reports, appraisals and flood determinations are ordered in a timely manner. Ensures collateral positions are obtained, perfected and maintained throughout the life of loans.
  • Work with closing attorneys and title companies to facilitate loan closings as needed.
  • Review loan denials and ensure the Bank’s policies and applicable laws are adhered to.
  • Supervises all aspects of servicing commercial and consumer loans. This includes, but is not limited to, posting of payments and advances, construction loan administration, payment of insurance and taxes for all escrow accounts.
  • Administers the tracking system(s) for insurance, taxes, reporting requirements, covenants, exceptions, and the collection of information for HMDA, CRA and other similar regulations.
  • Oversight for all credit and collateral files.
  • Manage participations with other financial institutions
  • Maintains knowledge to effectively and efficiently manage and direct the tasks performance by Loan Operations including, but not limited to, direct loan input (system boarding) and verification procedures for all loans, ensure proper segregation of duties, develop and maintain workflows for all stages of loan input, supervise the processing of loans in non-accrual, charge-offs or OREO status, supervise all aspects of the loan operations (portfolio and sold), oversight for; loan payments, payoffs, escrow accounting, escrow analysis, draw request, balancing, and dispersing loan funds.
  • Leads the process of referring customers to other areas of the bank to meet customer needs, deepen relationships and build strong internal partnerships pursuant to Union Bank’s sales strategy.
  • Handle escalated customer problems and complaints; counsel customers with special needs or requests.
  • Accountable for the compliance with applicable federal, state and local laws and regulations; and Union Bank policies and procedures. Recommend corrections when necessary.
  • Interprets and administers bank policies and procedures relating to operations functions including completion of necessary compliance related training.

Compliance

  • Provide assistance to Credit Department in all preparation and updating, including the annual subjective risk factor changes.
  • Ensure Loan Operations team complies with applicable regulations, investor requirement, credit policies and procedures and meets customer service standards.
  • Ensure all operations teams are consistently meeting performance expectations related to internal and external audit, compliance examinations, prepare and implement audit responses as necessary.
  • Adheres to all State and Federal Banking Regulations, receive and research new regulations, policies and procedures and implement them. Staying current on compliance and regulations by attending seminars and reading available information. Ensure necessary changes or recommendations have been implemented as directed.
  • Conduct pre- and post-closing file / documentation reviews and/or partner with external auditor to ensure this task is accomplished.

  • Other duties assigned from time to time by President & CEO or Sr. Credit Officer
  • Adhere to all bank policy and procedures as well as complying with legal and regulatory requirements.
  • Familiar with and abides by all bank regulations including but not limited to BSA and OFAC.

Working Conditions of the Job

  • No particular working hazards.
  • No unusual physical exertion required.
  • Stationed in a branch within the teller area 95% of working time.
  • Ability to travel to work at different locations with short notice or as scheduled.
  • Ability to sit for long periods of time, stoop, bend, twist and lift up to 50 pounds occasionally.

Education & Work Experience

  • Bachelor's degree in Business Management, Business Administration, Finance or equivalent combination of education and experience.
  • Strong knowledge of CRA requirements.
  • Minimum of 5-7 years banking experience.
  • Minimum 3-5 years in Loan Operations.
  • 3-5 years’ experience in supervision
  • At least 1-year experience in lending
  • Experience with Advisor in Mortgagebot preferred
