Operations Coordinator

Overview

The Operations Coordinator is responsible for providing support to the Senior Vice President and Senior Management Team. This role involves coordinating various tasks and processes to ensure efficiency and productivity within the organization.

Responsibilities

Other duties may be assigned as necessary.

  • Support all aspects of Senior Management’s responsibilities.
  • May manage Senior Management’s calendars and schedules appointments.
  • Organize programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, coordinating with the Executive Assistant when necessary.
  • Prepare agendas, notices, and minutes for Senior Management meetings.
  • Take and transcribe dictation and compose and prepare confidential correspondence, reports and other complex documents.
  • Perform complex and confidential functions including developing and typing taped dictation or written correspondence. Type memos, purchase requisitions, payment requests and other department forms and documents.
  • Create and maintain database and complex spreadsheet files as needed.
  • Arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings for all branches.
  • Prepare the Senior Management’s monthly expense reports as requested.
  • Maintain confidentiality of all corporate, personnel and research matters.
  • Reconcile corporate credit card account(s).
  • Support other staff in the administration department as needed and approved by Senior Management.
  • Work efficiently with administrative and clerical staff to ensure employees, clients, stakeholders, and visitors receive consistent and effective support.
  • Manage business operations that may include, but are not limited to: purchasing, preparing invoices for Arrow and facilities, petty cash reconciliation, and ensuring office supplies and equipment are ordered and available for use.
  • May oversee and supervise the reception and front desk operations.
  • Attend trainings and meetings as required.
  • Perform all duties within contract, state and federal regulations, company policy, and regulatory agency standards.
  • May be required to drive vehicles, be insurable with our auto insurance provider, and complete company vehicle training.

Qualifications

Bachelor’s Degree preferred with a minimum of 2 years of related experience.
