The Family Communications and Logistics Program Coordinator is responsible for assisting with all tasks associated with program outreach and travel coordination. This role is full-time and in-person.


Essential Duties and Responsibilities include, but are not limited to:

  • Support the Programs Team in the review of all flight applications and supporting documents submitted to Luke’s Wings, while working with travel agent to schedule flight requests.
  • Approve all flights that clearly meet our program requirements. Deny all flight requests that are clearly outside of our program lines, as defined by organization leadership and per our website.
  • Follow the Programs Checklist.
  • Record and manage geographical and statistical flight data for weekly, monthly and quarterly reports.
  • Update database management systems weekly.
  • Formalize decision matrices to distribute to case managers at military hospitals, SOCOM, hospice care centers and law enforcement channels.
  • Create, modify and maintain routine and special letters, memos and reports using Word, Excel and Salesforce.
  • Track airline miles accounts usage and cost daily.
  • Help establish a threshold for determining cash vs. miles on a case-by-case basis.
  • Attend and support Luke’s Wings fundraising events.
  • Attend expos, conferences, resource fairs and program-related meetings and events as needed and as requested.
  • Maintain working relationships and follow up with beneficiary families regularly.
  • Work occasionally on nights and weekends for emergency flight requests.

  • Ability to manage multiple short-term and long-term projects simultaneously.

  • A strong work ethic, innovative spirit and the ability to represent Luke’s Wings in a professional manner.
  • Flexibility to work with a team or independently.
  • Ability to manage issues and crises calmly and effectively while interacting with beneficiaries.
  • Operate with professionalism and confidentiality.


Qualifications and Requirements:

  • Bachelor’s degree required.
  • Proven and successful track record of program coordination.
  • Drive to achieve goals through teamwork.
  • Ability to develop and deliver presentations and speak persuasively.
  • Must be familiar with Word, Excel, PowerPoint and Salesforce; this role is data and detail oriented.
  • Previous database management knowledge preferred.
