We are currently seeking to add a Project Administrator to our dynamic team in Bend, Oregon.

$24-$34 hourly, full-time in office

With a strong commitment to innovation and sustainability, PBS takes pride in our ability to turn creative ideas into reality. We are seeking a motivated and detail-oriented Project Administrator to support our AEC (Architecture, Engineering, and Construction) projects. The ideal candidate will work closely with our Project and Department Managers to handle duties such as project setup, invoicing, project accounting and contracts/change orders in an organized, thorough, and timely manner. The ideal candidate will have a passion for excellent customer service, organizational skills, and a strong desire to contribute to the successful execution of diverse multi-disciplinary projects within our community.

QUALIFICATIONS:

Minimum qualifications:

  • At least two (2) years' direct accounting or administrative experience, or an associate degree in accounting or related field.
  • Proficient knowledge of Microsoft 365, specifically Excel, Word, and Outlook.
  • Ability to manage time effectively while employing solid organizational skills.
  • Ability to work under pressure to meet deadlines while remaining professional, responsive, and cooperative.
  • Outstanding problem-solving skills, with the ability to exercise sound judgment.
  • Strong organizational, multi-tasking, time-management, and prioritizing skills and attention to detail.
  • Excellent communication and interpersonal skills with a customer service focus and a positive attitude.
  • Able to lift 35 pounds.
  • Valid driver’s license.

Desirable qualifications:

  • Experience within the AEC industry.

PRIMARY JOB RESPONSIBILITIES:

  • Maintain accurate and detailed project records, including contracts and change orders.
  • Prepare, process, and distribute project/client invoices.
  • Monthly review of project revenue.
  • Support project managers with project financial analysis, accounting processes, and accounts receivable/collections, accounts payable.
  • Perform general office admin tasks as needed (answering phone calls, shipping, providing support for meetings and events).
