Mapping the Asset Team

When I started a new position at Council, one of the things I looked at was how information flowed through the Asset Management team. There was also a need to recruit a position. This was an opportunity to define and identify what we do, so I went about mapped the AM function.
First identify the positions in the team, brief description of what each does, and consider how much of the expectation of work is strategic, tactical, or operational. I used a line along the stacked organisation boxes to identify this where it was more operational at the ‘lower’ levels and tactical/strategic as you climb up.
Next you identify what outputs are expected from the group by other entities, identify these as reports, data, plans or meetings group them an align them with the responsible person in the team. Using different icons for the functions. These are the primary outputs.
Next look at what inputs are required to produce those outputs, identify them the same way and align them with the responsible person. These are the primary inputs.
The final steps would be identifying where the inputs and outputs go. If the next team in line did the same mapping you would be able to follow a line from source to end of how that flows through the organisation – but that’s a big ask.
I found this a useful exercise and you may be able to substitute my AM pyramid of wisdom for the organisation blocks instead.
